Deploying email signatures in Outlook and Microsoft 365: transport rules or add-in?

Microsoft 365 integration
Your Microsoft 365 directory syncs through Microsoft Graph. The signature is served by the Soniako add-in, which you deploy once for the whole organisation from the admin center. After that it keeps itself up to date.
There are two ways to manage signatures in Microsoft 365. Exchange transport rules append text on the server, after sending. An add-in inserts the signature in Outlook while the message is written. Soniako uses an add-in.
| Transport rules | Soniako add-in | |
|---|---|---|
| Visible while composing | No | Yes |
| Placed under the message (not at the bottom of the thread) | No | Yes |
| Personalised per person | Limited | Yes, from the directory |
| Banner targeted by team and date | No | Yes |
| No mail flow rerouted | Yes | Yes |
For the full comparison, see our guide to deploying signatures in Outlook and Microsoft 365.
For directory sync, Soniako asks for three Microsoft Graph permissions, all read-only: User.Read.All (users and their details), Group.Read.All (groups) and GroupMember.Read.All (who belongs to which group). None of them gives access to email content.
The add-in signs in with the user’s own Microsoft account and fetches only that user’s signature.
On top of the signature you schedule a clickable banner per team and per period. Impressions, clicks and click rate are measured per campaign, day by day.
The console shows, person by person, the assigned signature, when it was last built and its deployment status. Every directory sync is logged.

The add-in runs in Outlook desktop and Outlook on the web, which support add-ins that activate on compose. The Outlook mobile app is not covered by the add-in today.
No. An admin deploys it once from the Microsoft 365 admin center, to the whole organisation or to groups, and it appears in everyone’s Outlook.
No. Soniako uses no transport rule and routes no email through its servers. The signature is inserted in Outlook, before sending.
Their directory record changes and the signature is rebuilt. The add-in picks up the new version on the next message.
Both environments are managed from the same console, with the same signature template.
