How the signature gets into Gmail
- Domain-wide authorisation — A super admin grants Soniako domain-wide delegation in the Google Admin console. It is the only technical step in the project.
- Directory sync — Users, groups and profile photos are imported. Groups become teams, which you then use to target signatures and banners.
- Build the signature — You assemble the template in the block editor. Fields — name, job title, phone, photo — fill in from each person’s directory record.
- Written into every Gmail account — Soniako writes the signature into each employee’s Gmail settings. It shows up while they compose, right under their message, like any signature.
Every permission we ask for, and why
Domain-wide delegation is a powerful grant, so a service that asks for it should say exactly what it does with it. This is the full list of scopes Soniako requests from Google.
Google OAuth scopes requested by Soniako | Scope | Access | Why |
| admin.directory.user.readonly | Read-only | Read users and their details to fill in signatures |
| admin.directory.group.readonly | Read-only | Read groups, which become teams |
| admin.directory.group.member.readonly | Read-only | Know who belongs to which group |
| gmail.settings.basic | Gmail settings | Write each user’s signature |
| gmail.settings.sharing | Gmail settings | Write the signature on “Send mail as” addresses |
| userinfo.email | Identity | Know which admin is connecting the domain |
Soniako asks for no access to email content, attachments or Google Drive.
What happens when something changes
- Someone changes role: their directory record changes, the signature is rebuilt and rewritten.
- The logo or address changes: you edit the template once and every signature is rewritten.
- Someone edits their signature by hand: it is replaced on the next write. That is on purpose — tell your teams.
- A new hire joins: they appear on the next sync and get their team’s signature.
A banner per team, with numbers
On top of the signature you schedule a clickable banner: a webinar for the whole company, a job opening for the sales team, a booking link for support. Each campaign has a start and an end date.
Every view and every click is counted. You follow impressions, clicks and click rate per campaign, day by day.
Know who actually has the right signature
For each employee the console shows the assigned signature, when it was last built, and whether deployment is current or pending. Every directory sync is logged: what was created, updated or skipped, and why.
