Email signature examples by role: sales, HR, leadership, support

Concrete email signature examples for each role — sales, recruiting, leadership, customer support, marketing — with what works in each one and why.

One signature for the whole company guarantees consistency. But a salesperson, a recruiter and a support engineer don’t have the same goal when they hit send. The right approach: a shared foundation (logo, colors, legal notice) and role-based variants that add the one element each team needs.

Here are concrete examples, shown as text mock-ups.

Sales: make the next step easy

A salesperson wants the recipient to act: reply, call, book a slot.

What works: the booking link removes the back-and-forth of finding a time, and the vCard button saves the contact in one click. We dig into these levers in email signatures for sales teams.

Recruiting and HR: carry the employer brand

HR teams write to candidates, schools and agencies. Their signature is a window onto the company as an employer.

What works: a “we’re hiring” banner linking to the careers page, and possibly a link to employee reviews. More ideas in email signatures and employer branding.

Leadership: restraint and credibility

For an executive, less is more. The signature should build trust, not sell.

What works: no personal mobile number (list an assistant or the main line instead), a LinkedIn link for the executive’s thought leadership, and possibly a corporate banner (annual report, sustainability commitment).

Customer support: reassure and guide

Support often writes to customers who are stuck. The signature should reassure and point to help.

😊 Great😐 Okay🙁 Not good

What works: opening hours (which prevent frustrated follow-ups), a help-center link, and a one-click satisfaction survey or review link. See collecting customer reviews with your signature.

Marketing: the signature as a medium

Marketing teams are best placed to test banners before rolling them out company-wide.

What works: regulatory details grouped under the contact block, in smaller type. Check the rules for your profession; our article on legal requirements covers the common ground.

Reply signature: the short version

In a thread, a full signature repeats with every message. Set up a short one:

Managing all these variants without chaos

Multiplying variants by hand multiplies inconsistency. The method that holds up over time:

  1. A master template carrying the visual identity and shared notices.
  2. Team-specific blocks (banner, booking link, opening hours).
  3. Automatic assignment based on the team or directory group.

That is exactly what managing signatures by team makes possible: everyone gets the right variant, and a change to the master template flows everywhere.
